1. About This Policy

RuKidsClub LLC (“RuKidsClub,” “we,” “us,” or “our”) respects the privacy of parents, students, and visitors to rukidsclub.com.

This Privacy Policy explains what personal information we collect, how we use and share it, and how you may request access, correction, or deletion. RuKidsClub is based in Maryland, United States, and provides online educational services to families in different countries.

2. Information We Collect

Parents and adult customers. We may collect names, email addresses, telephone numbers, account information, communications with our team, orders, payment status, and booking history.

Students. We maintain the student’s first name, or first and last name, as provided by the registering adult, along with assigned subjects and teachers, scheduled lessons, and booking and attendance history. Our standard student records do not include a child’s date of birth, medical information, or formal assessment of their knowledge level.

Payments. We receive details needed to identify and manage transactions, such as the amount, date, payment status, and payment reference. Card payments are processed by payment providers; RuKidsClub does not directly store full payment-card numbers.

Website and technical information. Our website and service providers may process IP addresses, browser and device information, security logs, and cookies needed for site functionality, account access, booking, and checkout.

We may also receive information you voluntarily provide when contacting us or requesting educational services.

3. How We Use Information

We use personal information to:

  • Create and manage accounts and student bookings.
  • Schedule and deliver lessons and communicate with teachers and families.
  • Process payments, refunds, and related accounting records.
  • Send lesson confirmations, reminders, schedule changes, and service messages.
  • Respond to questions, resolve issues, and review the quality of our services.
  • Provide information about RuKidsClub courses, events, and offers where permitted by law.
  • Maintain website security and comply with legal obligations.

Where applicable, we rely on the performance of our services, compliance with legal obligations, legitimate interests, or consent as the legal basis for processing personal data.

We do not sell student personal information or customer contact lists.

4. Children’s Privacy

RuKidsClub provides lessons for children, but website accounts and lesson bookings are created and managed by adults. The registering adult is responsible for having the appropriate authority to arrange a child’s participation.

We use student information only as reasonably necessary to organize and provide educational services. Access is limited to authorized administrators, relevant teachers, and service providers involved in delivering those services.

Parents or legal guardians may contact us to request access to, correction of, or deletion of their child’s information, subject to applicable law and necessary recordkeeping. Where the law requires specific parental consent for the collection or use of children’s personal information, we will obtain it.

Children may participate in lessons and educational activities using third-party platforms, which may process information according to their own privacy policies and applicable agreements.

5. Service Providers and Meta Integrations

We use third-party systems to operate RuKidsClub, including:

  • WordPress, WooCommerce, and Amelia for the website, accounts, orders, and bookings.
  • Stripe and other available payment services, including Zelle and Venmo where used, for payments and refunds.
  • Zoom and Google Meet for online lessons.
  • Google Calendar and Google Classroom for scheduling, educational materials, and assignments.
  • Hosting, email, and messaging services for communication and technical operations.

We share information with these services and with relevant teachers only as necessary for the functions described in this Policy. Some providers may process data in the United States or other countries. Where applicable, we take steps required by law for international transfers.

Facebook and Instagram (Meta)

RuKidsClub may use Meta’s authorized tools and APIs to display content from its official Facebook and Instagram pages on our website, such as posts, images, reviews, and recommendations.

Depending on the permissions and information made available by Meta, this content may include public display names, profile images, comments, or other publicly accessible information associated with the displayed content. We use this information to display RuKidsClub’s social media content and customer feedback, not to build profiles of website visitors.

If we embed content directly from Meta, Meta may collect technical information or use cookies under its own privacy practices.

Requests to delete data obtained through Meta. To request deletion of information that RuKidsClub has obtained through a Meta integration, email info@rukidsclub.com and identify the relevant post, review, account, or other content. We will review the request and delete information under our control as required by applicable law and Meta’s platform rules. To delete or change information held directly by Facebook or Instagram, please use the controls provided by those platforms.

6. Lesson Recordings and Photos

Some online lessons may be recorded for internal quality review or to address educational concerns. Recordings may contain participants’ voices, images, and other information shared during a lesson.

Recording is subject to applicable consent requirements. We will obtain the permissions required by law before recording a lesson.

Recordings are not published publicly without appropriate authorization. We seek separate permission from a parent or legal guardian before publicly sharing identifiable images, video, or audio of their child, including in social media posts, on our website, or in promotional materials. Permissions from other identifiable participants are obtained where required.

Access to internal recordings is limited to authorized persons with a legitimate need to review them.

7. Cookies and Analytics

Our website uses necessary cookies and similar technologies for login, preferences, booking, checkout, and security. Disabling necessary cookies may prevent some features from working correctly.

At present, RuKidsClub does not use Google Analytics, Google Ads tracking, or Meta Pixel on its website. We may introduce analytics or advertising tools in the future. If we do, we will update this Policy and implement any notices, consent choices, and controls required by applicable law before using them.

8. Emails and Marketing

We send service-related emails about accounts, lessons, bookings, payments, and schedule changes.

Registered customers may also receive announcements about RuKidsClub programs, events, and offers where permitted by applicable law. Marketing emails include an Unsubscribe option. You may also ask us to stop promotional messages at info@rukidsclub.com.

Opting out of marketing does not prevent essential service-related communications.

9. Data Retention and Security

We retain personal information for as long as reasonably necessary to provide services, maintain accounts, meet accounting or legal obligations, resolve disputes, and protect legitimate rights.

When an account is closed or a deletion request is approved, we delete information that is no longer needed, while retaining records that must be kept for legal or legitimate operational reasons.

Lesson recordings are kept only as long as necessary for their stated purpose and then deleted, unless a lawful reason requires further retention. Recording retention period: 6 month.

We use reasonable technical and organizational safeguards to protect personal information. However, no internet-based system can guarantee absolute security.

10. Your Privacy Rights and Data Deletion

Depending on the laws that apply to you, you may have rights to:

  • Request access to personal information we hold about you or your child.
  • Request correction of inaccurate information.
  • Request account closure and deletion of personal information.
  • Withdraw consent for particular processing activities, where applicable.
  • Opt out of promotional emails.
  • Exercise other rights available under applicable privacy laws.

To make a request, including a data deletion request relating to Facebook or Instagram integrations, email info@rukidsclub.com. Please provide enough information for us to identify the relevant account or data. We may request verification of identity or parental authority before acting on a request.

We respond in accordance with applicable law. Certain information may be retained where necessary to comply with legal obligations, fulfill existing services, or protect lawful rights.

Where the GDPR or another applicable privacy law provides additional rights, those rights remain available, including the right to contact a competent data protection authority.

11. Updates and Contact Information

We may update this Privacy Policy from time to time. The current version will be available on our website with its updated date. We will provide additional notice or request consent when required by law.
